InboxTones User Guide for Windows Mobile 5/6 Standard/Professional

This guide assumes you are already familiar with the basic functionality of Windows Mobile 5/6 and know how to install software.

Installation Instructions

The PC installer version will install InboxTones on your device using ActiveSync on your desktop PC. Or, by copying the CAB file version directly to your device and clicking on it, InboxTones can be installed without needing ActiveSync. InboxTones should be installed in your device's main memory, not on the storage card. Please accept all warnings during the installation process on the device. After installation is complete, you will find the InboxTones application icon installed in your Start menu.

Using the Installed InboxTones Application

The InboxTones application is used to control the functionality of InboxTones on your device. When you first install InboxTones, you will have 7 days to use the program for free before it stops functioning. At that time, you will need to purchase the program and enter your Activation Code in order to continue using it.

PLEASE NOTE:

1) InboxTones, can play almost any MP3, WAV, or MID sound file when messages arrive. Place any sound files you wish InboxTones to use in the My Sounds or Windows directories in device main memory or the My Sounds directory on your storage card. If the My Sounds directory does not exist, you may need to create it with the File Manager program.

2) In order for InboxTones to take sound notification priority, you must set the default Windows Mobile sounds for Text and Email messages to NONE OR VIBRATE (vibrate if you want your device to always vibrate regardless of InboxTones settings when a message arrives) in the Control Panel or Settings utility on your device.

3) You must have your device sound profile set to Normal. If your sound profile is set to Meeting, Vibrate, Silent, etc., InboxTones will not play your selected sounds.


Now, let’s get started. Click on the InboxTones icon in your Start menu to choose your sound notification options for new messages. InboxTones is broken down into two areas (primary screens):

InboxTones for Accounts- On this screen, you can choose a certain sound file to play whenever new messages are received for a particular account (SMS, Messages, Text Messages, POP3, IMAP, Outlook, ActiveSync, DirectPush).

InboxTones for Senders- On this screen you can choose certain sound files to play, whenever new messages are received from specific Senders (your boss, friend, spouse, a contact, etc.)

InboxTones for Accounts Screen:

This screen can be selected by choosing Accounts on the Menu right soft key. On the this screen you will see four settings (three for PocketPC/Professional version):

Select Account:

Click on this setting to choose which available Messaging account you would like to assign a sound file to. Most of the compatible and available Accounts (POP3, IMAP, Outlook) setup in the Messaging application will be listed here, including the SMS/Text Messaging account. When messages arrive for this account, InboxTones will play the sound based on the settings you have chosen below.

PLEASE NOTE: On some devices, the Text Messaging account may be listed as SMS or Text Messages, or Messages.

Select Sound File:

Click on this setting to choose the sound file to play for the account selected above when new messages arrive. Any MP3, WAV, or MID, sound file stored in the Windows or My Sounds directories are listed. Click on the Test sound button to here a sample of the selected sound.

Play sound for:

Click on this setting to choose the duration (in seconds) InboxTones should play the selected sound file when each message arrives.

PLEASE NOTE: Don’t make this setting too long, otherwise if you receive a lot of messages, it may take a while before all the sounds stop playing.

Vibration (available on SmartPhone/Standard version only):

Check this box if you would like InboxTones to also vibrate your device before it plays the selected sound. For Windows Mobile PocketPC/Professional devices, you may turn this option on in the Sounds & Notifications Control Panel.


InboxTones for Senders Screen:

This screen can be selected by choosing Senders on the Menu right soft key. On the this screen you will see four settings (three for PocketPC/Professional version):

Select Sender’s Email or Phone Number:

We will set these up in a minute. Click on this setting to choose which Senders (your boss, friend, spouse, Contact, etc.) you would like to assign a sound file to. The Sender’s cell phone number for SMS/Text Messages or the Sender’s email address for email messages are listed here.

PLEASE NOTE: You can assign a different sound for SMS/Text Messages and a different sound for email messages, for the same Sender by creating two Sender entries. You can enter as many Senders as you would like. The combinations are almost limitless.

PLEASE NOTE: Sounds assigned to Sender’s take priority over sounds assigned to Accounts. For example, if the sound file “bells.wav” is assigned to the your personal POP3 account setup in the Messaging application AND the sound file “gong.wav” is assigned to the Sender jimmyjones@netscape.com, when a message SENT to your personal POP3 account FROM jimmyjones@netscape.com arrives, “gong.wav” will play. Whenever any other message arrives for your personal POP3 account, “bells.wav” will play.

Select Sound File:

Click on this setting to choose the sound file to play for the Sender’s Phone Number or Email Address selected above. Any MP3, WAV, or MID, sound file stored in the Windows or My Sounds directories are listed. Click on the Test sound button to here a sample of the selected sound.

Play sound for:

Click on this setting to choose the duration (in seconds) InboxTones should play the selected sound file when each message from the selected Sender arrives.

Vibration (available on SmartPhone/Standard version only):

Check this box if you would like InboxTones to also vibrate your device before it plays the selected sound. For Windows Mobile PocketPC/Professional devices, you may turn this option on in the Sounds & Notifications Control Panel.

Add New Sender:

Choose this option from the Menu right soft key to add a new Sender manually. On this screen, you will see two entry fields:

Enter Sender’s Email or Phone Number:

In this field, enter a new Sender’s cell phone number (if you want a sound to play when the Sender sends an SMS/Text Message from this number) or a new Sender’s email address (if you want a sound to play when the Sender sends an Email Message from this email address).

Enter Display Name:

In this field, enter a descriptive name for the Sender’s phone number or email address, which you entered in the field above. This Display Name will appear next to the Sender’s phone number or email address in the selection box on the Inbox for Senders screen, to make it easier for you to know whom the Sender is (you may not be able to figure it out from just their phone number or email address). For example, in this box you could enter Mary’s Cell or My Boss or The Office, etc.

When finished, press the Done left soft key and this Sender will then appear in the list on the InboxTones for Senders screen.

Add Sender from Contacts:

If you already have a Contact setup, which you would like to add as a Sender automatically, select this option from the Menu right soft key on the InboxTones for Senders screen. InboxTones will then display a list of your Contacts, select the Contact to add as a Sender by pressing the Select left soft key and that Contact will be added as a Sender.

If the Contact has more than one entry (email address AND mobile number), you will then see a selection screen for all entries stored for that Contact. Choose which item to add (email or mobile number) as a Sender for that Contact by pressing the Select soft key, and that Contact’s email address or mobile phone number will be added as a Sender in InboxTones.

Add Email Sender Group:

You can also assign tones to groups of email senders. This is a very powerful feature. For example, if you rountinly receive Email messages from different people at your company and want the same tone to play for any message received from your company, you could create a Sender entry with the following email address:

@yourcompany.com

Remeber to include the @ symbol. Enter a Display Name such as "Company Email". When finished, press the Done left soft key and this Sender will then appear in the list on the InboxTones for Senders screen. Select any sound file as you would normally. All messages received from the domain following the @ symbol would play the assigned tone.

The reverse is also true. You could setup an Email Sender Group in the following format:

accountingdept@

Remember to include the @ symbol. Whenever any message arrived from a Sender with "accountingdept" in the beginning of their email address, InboxTones would play the assigned tone. It wouldn't matter what the domain was following the @ symbol, the assigned tone would still play for this group.

Edit Sender:

This option on the Menu right soft key will display editable entry fields with the Sender’s information already filled in. You can change any part of the Sender information (phone number or email address and Display Name), then press the Done left soft key when finished.

Remove Sender:

Select this option from the Menu right soft key to delete that particular Sender. This will NOT delete the original Contact, only that particular Sender entry from InboxTones.

Start Key (left soft key):

When you have finished entering or changing your settings, press the Start left soft key to initialize and start InboxTones. Whenever a message arrives from that point on, InboxTones will play sound files according to your settings.

Suspend

Select this option from the Menu right soft key to temporarily deactivate InboxTones. Windows Mobile will follow your default device sound settings for all new messages that arrive. You can reactivate InboxTones by pressing the Start left soft key again.

Program Activation

When the 7 day free trial has expired, InboxTones will stop functioning and you will need to visit www.qorefunctions.com or a QoreFunctions authorized online reseller to purchase and activate the program.

When the purchase is complete, you will need to request an Activation Code from our web site and supply the Owner Name of your device (typically your full name) found under device settings or Owner Information in the Control Panel. The Activation Code for InboxTones will be based on your device Owner Name. After submitting the request, you will be emailed your Activation Code within 1 business day. When you receive your Activation Code, choose Activation from the Menu (right soft key) and enter your code in the space provided. The program will continue to function normally at that point.

Cancel

Choose this option from the Menu (right soft key) to exit from the application without saving your changes.
